Documents are only part of the record
The most valuable institutional memory captures why a question mattered, which evidence changed a view, who approved the decision, and what happened afterward. Treat this as episodic memory: the full decision trace, stored alongside the final document.
Make experience retrievable
Distill reviewed lessons into semantic memory indexed by sector, structure, risk factor, and operating theme. When a new deal raises a familiar issue, hybrid retrieval surfaces the relevant precedent and explains why it is comparable — including the limits of the analogy.
Keep entitlements attached
A reusable playbook does not require unrestricted access to the underlying deal. Separate approved general lessons from deal-restricted records, and enforce the firm’s information barriers and MNPI controls at retrieval time and on every agent handoff.
Close the loop deliberately
A periodic post-mortem of realized outcomes against the original thesis strengthens future diligence. Ask what the team learned, whether the original evidence supported the decision, and which parts of the credit playbook should change.
